Executive Assistant & Office Manager - 12 Month Fixed Term Contract (Maternity Cover)

Company: Airfinity is a leading provider of data and analytics solutions in the pharmaceutical industry, helping clients understand disease landscapes, predict demand, and improve outcomes in different infectious disease spaces.

Objective of the role: Airfinity is seeking to hire an Executive Assistant & Office Manager at for a 12-month FTC to cover maternity which will be responsible for Managing the logistics of the CEO and other Executives schedules to increase the bandwidth of the Exec team, while supporting on office management. This role will also include an element of office management duties, and meticulous meeting note taking. The role holder will be reporting directly to the CEO.

Key Responsibilities:

  • Extensive diary management for the CEO.

  • Arranging meetings with internal and external stakeholders

  • Prepare meeting agendas, collate papers, and take minutes during meetings

  • Booking lunches, hotels and travel when required for all executives and when necessary, board members

  • Assist with organising company events

  • Be responsible for managing the CEO’s inbound and outbound communication, often serving as a key liaison for communication with the

  • company’s employee.

  • Assist with ad hoc projects which could be personal tasks for the CEO and business projects

  • Support on presentations for board and company meetings

  • Relationship building across the company

  • Ensuring the smooth running of the office

  • Feedback to Executives regarding the company’s climate, interdepartmental comms, employee’s well-being, and project updates as well as contribute to employee engagement ideas and initiatives

  • Support on a wide range of tasks (depending on what is on the company agenda) and fill the gaps when needed

EA/Office Manager roles can involve a mix of office and remote work, and may require flexibility, a keen attention to detail, and the ability to navigate ambiguity.

Desired skills and Qualifications:

  • Experience in a similar Executive Assistant & office manager role

  • Previous experience managing Senior Executives diaries

  • Experience minute taking

  • Good communication skills

  • Very organized and timely
